Privacy Policy

How Truckoom collects, uses, shares, and protects information across our websites, applications, and services. This policy is subject to change — please check back occasionally.

Truckoom Global Positioning Systems Trading L.L.C ("Truckoom", "we", "us", "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard personal data across our websites, mobile applications, fleet telematics services, transport-management software, and any other products or services that link to this policy (together, the "Services").

Please read this policy carefully. If you do not agree with it, please do not use the Services.

1. Scope

This policy applies to personal data we process through:

  • our websites and online portals, including public shipment-tracking pages;
  • our fleet telematics and vehicle-tracking services, including installed tracking devices;
  • our transport-management software and related web and administrative applications;
  • our mobile applications, including applications used by drivers and by our customers' staff; and
  • our sales, support, and business communications.

Some products we offer are supplied, hosted, or operated by third parties and are provided to our customers through Truckoom (for example integrated or resold software and hardware). Where a third party operates such a product, that third party processes personal data under its own agreements and privacy notices, and we encourage you to review them. This policy describes Truckoom's own practices.

This policy does not apply to personal data relating to our own employees, contractors, or job applicants.

2. Our role

Truckoom provides its Services primarily to businesses — transport operators, fleet owners, and similar organizations ("Customers").

  • Where we process personal data on behalf of a Customer — for example a Customer's vehicle, trip, delivery, driver, or contact records — that Customer is the controller and determines why and how the data is used. Truckoom acts as a processor / service provider and follows the Customer's instructions and our agreement with them.
  • Where we process personal data for our own purposes — for example operating, securing, supporting, and improving the Services, managing our own billing, and communicating with you — Truckoom is the controller.

Our platforms are multi-tenant: each Customer's data is kept logically separated from other Customers' data.

If you are a driver, an employee of a Customer, a consignee, or a supplier and you wish to exercise rights over data held by a Customer, please contact that Customer first. You may also contact us and we will assist or pass your request on (see Contact).

3. Whose personal data we process

Depending on the Service, we may process personal data relating to:

  • our Customers' staff and authorized users;
  • drivers and field personnel;
  • customers, consignees, recipients, and other contacts of our Customers;
  • suppliers, vendors, and business partners and their contacts;
  • visitors to our websites and recipients of shared tracking links; and
  • prospective customers and people who contact us.

4. Personal data we collect

4.1 Information you or your organization provides

  • Identity and contact details — such as name, job title, employer or organization, email address, telephone number, and postal or business address.
  • Account and login details — such as username, password or passcode (always stored in encrypted or hashed form), authentication settings including multi-factor authentication, and profile details or photograph.
  • Driver and personnel details where a Customer records them — such as contact details, date of birth, government or national identification details, driving-licence details and expiry, and emergency contact details.
  • Business and commercial records — such as customer, supplier, order, shipment, and pricing records; billing, tax registration, and payment details; and correspondence and support requests.

4.2 Location and vehicle information

  • Vehicle location and movement data from tracking devices and applications, including position, speed, direction, distance travelled, journey history, and related events and alerts such as geofence or speed notifications.
  • Mobile device location, including location collected in the background while a job or trip is active — that is, while the application is running in the background or the device is locked. Background collection begins when a trip becomes active and stops when it ends or the user signs out. Users are notified while this is running and can disable location permissions at any time in their device settings.

Because a vehicle or device is usually operated by an identifiable person, location information may constitute personal data about that person. It is made available to the responsible organization (our Customer).

4.3 Operational and evidence information

  • Proof-of-delivery and job records — such as photographs, scanned or captured documents, electronic signatures and the name of the person signing, voice notes, delivery and exception notes, timestamps, and the location recorded at the time of the event.
  • Communications we or a Customer send through the Services, such as notifications, messages, and their recipients and content.

4.4 Technical and usage information

  • Device, browser, and application information, IP address, language and regional settings, and identifiers used to deliver notifications.
  • Usage and interaction data, diagnostic, performance, and error information.
  • Information collected through cookies and similar technologies (see section 6).

4.5 Artificial-intelligence features

Where the Services include assistive, search, or analytical features that use artificial intelligence, the request submitted by the user and the relevant records from that user's own organization may be processed to generate a response (see section 7).

We do not sell your personal data or share it with data brokers. We do use a limited set of analytics and advertising cookies on our websites — including Google Analytics and Google Ads — to measure our marketing and, where you consent, to show you relevant Truckoom ads on other websites and platforms. See section 6.

5. How and why we use personal data

We use personal data to:

  • provide, operate, maintain, and support the Services;
  • create and administer accounts and authenticate users;
  • record and manage journeys, jobs, deliveries, and proof of delivery;
  • provide tracking, monitoring, reporting, and analytics to the responsible organization;
  • send service, operational, security, and administrative communications;
  • manage billing, subscriptions, payments, and our business records;
  • protect the security and integrity of the Services, prevent and investigate misuse, and enforce our terms;
  • improve and develop our products, including diagnosing faults and analysing usage;
  • respond to enquiries and provide customer support; and
  • comply with legal, regulatory, tax, and record-keeping obligations.

Where applicable law requires a legal basis, we rely on: performance of a contract; our or our Customers' legitimate interests in operating a transport and fleet business securely and efficiently; compliance with legal obligations; and consent where required (for example for certain marketing or non-essential cookies). Where processing is carried out for a Customer, that Customer is responsible for establishing the appropriate basis and for informing the individuals concerned.

6. Cookies and similar technologies

Our websites and web applications use cookies and similar technologies in a few broad categories:

  • Essential — signing you in, maintaining your session, and keeping the Services secure. These are always on.
  • Analytics and performance — for example Google Analytics (GA4), to understand and improve how the Services are used.
  • Advertising and marketing — for example Google Ads, to measure the performance of our marketing campaigns and, where permitted, to show you relevant Truckoom ads on other websites and platforms (including remarketing to people who have previously visited our site).

Where required by law we seek your consent before setting non-essential (analytics and advertising) cookies. You can control cookies through your browser settings and, where offered, through our cookie preferences. These third-party providers process the data they collect under their own privacy terms.

7. Artificial-intelligence features

Some Services include features that use artificial-intelligence models to answer questions, search records, or generate summaries and insights. When such a feature is used, the request and the relevant records from the user's own organization are processed by us and by specialist AI service providers acting on our behalf in order to produce the result.

These providers process the information solely to return the requested result. They do not use it to train their models, and any retention by them is limited and for security and misuse-prevention purposes only. Access to these features is restricted according to each user's permissions. We do not use these features to make decisions producing legal or similarly significant effects about an individual without human involvement.

8. When we disclose personal data

We disclose personal data only as described below:

  • To the relevant organization (our Customer). Data generated through the Services is available to the organization responsible for the account — for example an operator can view its own vehicles, drivers, journeys, and delivery records.
  • To service providers acting on our behalf. We use third-party providers to deliver the Services, in categories including: cloud hosting, storage, and infrastructure; software platform and integration providers; communications providers for email, SMS, and push notifications; mapping, navigation, and geolocation providers; payment and billing providers; analytics, advertising-measurement, monitoring, and error-reporting providers; artificial-intelligence service providers; and professional service providers. These providers are permitted to process personal data only to provide services to us and are bound by confidentiality and data-protection obligations.
  • To third-party products you use. Where a product is supplied or operated by a third party, or where you or your organization choose to connect a third-party service or use a third-party application, data may be shared with that party, who processes it under its own terms and privacy notice.
  • For legal and safety reasons. Where we believe disclosure is required by law, regulation, legal process, or a governmental request, or is necessary to protect rights, property, safety, or to investigate fraud, security, or technical issues.
  • In corporate transactions. In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality safeguards.

We do not sell your personal data or share it with data brokers. We do share limited online identifiers and usage data with analytics and advertising providers (such as Google) to measure and improve our own marketing, as described in section 6.

A current list of the categories of service providers we use is available to Customers on request.

9. Administrative access

Authorized Truckoom personnel may access an account for support, maintenance, security, or troubleshooting purposes, including acting on a user's behalf where necessary to resolve an issue. Such access is restricted to authorized staff, limited to what is necessary, and recorded. We also maintain audit records of changes made within the Services, which may identify the person who made a change.

10. International transfers

Truckoom is based in the United Arab Emirates. Personal data may be stored and processed in the United Arab Emirates and in other countries where we or our service providers operate, which may have data-protection laws different from those in your country. Where personal data is transferred internationally, we take steps to ensure it remains protected in accordance with this policy and applicable law, including using appropriate contractual and technical safeguards.

11. Retention

We retain personal data for as long as necessary to provide the Services, to fulfil the purposes described in this policy, and to comply with legal, tax, accounting, and record-keeping obligations, after which it is deleted or anonymized. Where we process data on behalf of a Customer, retention is determined by that Customer and by our agreement with them. Retention periods vary according to the type of data, the purpose, and applicable legal requirements.

12. Your rights and choices

Subject to applicable law, you may have the right to request access to your personal data; to request correction of inaccurate or incomplete data; to request deletion of your data; to object to or request restriction of certain processing; to request a copy of your data in a portable format; and to withdraw consent where processing is based on consent.

Because much of the data we handle is controlled by the organization you deal with, please direct your request to that organization first. You may also contact us at support@truckoom.com and we will assist or forward your request.

Deleting your data. To request deletion of your personal data or your account, contact us at support@truckoom.com. We will verify your request and act on it, subject to data that we, the responsible organization, or applicable law require us to retain. Please note that accounts on our business platforms are normally created and administered by the organization you work with, so account closure is usually arranged through them.

You may also have the right to lodge a complaint with the competent data-protection authority in your jurisdiction.

13. Security

We maintain appropriate technical and organizational measures designed to protect personal data against unauthorized access, disclosure, alteration, loss, or destruction. These include encryption of data in transit, encrypted or hashed storage of credentials, access controls and role-based permissions, separation of Customer data, multi-factor authentication options, logging and monitoring, and periodic review of our security practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential.

14. Information about other people

Our Services allow users to record information about other individuals, such as the names, contact details, and signatures of people receiving goods. If you provide personal data about another person, you must ensure you are permitted to do so, and you should provide only the information necessary for the relevant purpose. The organization operating the account is responsible for the lawfulness of that processing.

15. Children

The Services are business tools intended for use by adults and are not directed to children under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will take appropriate steps to delete it.

Our Services may contain links to third-party websites, applications, or services that we do not control. We are not responsible for their content or privacy practices, and we encourage you to review their privacy notices.

17. Changes to this policy

We may update this policy from time to time to reflect changes in our practices, technology, or legal requirements. We will update the "Last updated" date above, and where changes are material we will provide additional notice through the Services or by other appropriate means. Your continued use of the Services after an update constitutes acceptance of the revised policy, where permitted by law.
